urgent hiring Secretary/ Administrative assistant.
Job location: Dubai, DSO
Available to join immediately (must required)
Experience must required ay least 3 years in the same field
-Enhance effectiveness by providing information management support.
-Provides supports to all of the staff if needed to meet the deadline especially the Head of Departments.
-Produces information by transcribing, formatting, inputting, editing, retrieving, copying, and transmitting text, data, and graphics.
-Organizes work by reading and routing correspondence; collecting information; and initiating telecommunication.
-Maintains customer confidence and protects operations by keeping information confidential.
-Secures information by completing database backups.
-Provides historical reference by utilizing filing and retrieval systems.
-Contributes to team effort by accomplishing related results as needed.
-File and update contact information of employees, customers, suppliers and external partners.
-Set up, copy, scan and store documents.
-Create templates
-Manage requests for documents
-File documents in physical and digital records and ensure appropriate storage
-To liaise with and distribute project related information with all levels of the project team and potentially external parties.
-Manage the processes around documentation within the organization
-Respond to calls, emails, and routine letters; direct inquiries to the appropriate person or department.
-Manage schedules and calendars; arrange, coordinate, and schedule meetings; prepare meeting documents for the Managing Partner
-Proofread and edit documents to ensure proper spelling and grammar as well as compliance with company policy; recommend revisions as needed.
-Fulfill other secretarial duties as needed.
-Ensure all technical documents such as reports, drawings and blueprints are collected and registered in the database
-Preparing documents for the Pre-qualification such as vendor registration and tendering
